Booking an airport transfer for someone else involves two people with different needs: the organiser who makes the arrangements and the passenger who needs to find the car. A confirmation in your inbox is useful only if the traveller also has the information needed on the day.
Whether you are welcoming a relative, visiting colleague or client to Singapore, make the handover part of the booking. Agree on who receives updates, what the passenger needs to know and how a change will reach the transport team.
Separate the organiser and passenger contacts
Tell the provider that you are arranging the journey on another person’s behalf. Identify the organiser who can confirm changes and the passenger who will take the ride. If you will be in a meeting or asleep when the flight lands, agree on a reachable backup rather than leaving your own number as the only contact.
Check which phone number the traveller can use after landing. If they will not have mobile service immediately, ask the provider to confirm a suitable contact and meeting plan before travel. Do not rely on an unconfirmed assumption that the driver will contact you both.
Send the passenger a short journey summary
Give the traveller the confirmed instructions in a form they can keep on their phone. Separate information they need for the ride from the organiser’s billing paperwork. A useful summary contains:
- The transport provider’s name and booking reference.
- The relevant flight, date and direction of travel.
- The agreed meeting instructions or pickup point.
- The destination name and full address.
- The confirmed contact route if the passenger cannot find the driver.
Use the provider’s actual instructions rather than making up a terminal door, signboard arrangement or driver arrival time. Ask the passenger to acknowledge the summary before departure. This gives you a chance to correct a wrong hotel, date or contact number while there is still time.
Explain the pickup arrangement clearly
Make sure the passenger understands where the booked service begins. A car transfer should not be presented as assistance through immigration, baggage collection or airport security unless that separate service has been explicitly arranged.

For an airport drop-off, the traveller instead needs the pickup time and location, plus the departure flight details. Keep the arrival and departure instructions separate when arranging both legs.
Choose one person to coordinate changes
A flight change can reach the passenger before it reaches the organiser. Agree that whoever receives new information sends it promptly to the designated contact, quoting the booking reference. Ask for acknowledgement of the revised arrangement; forwarding a message is not the same as having a change confirmed.
For example, if a guest switches flights while the organiser is unavailable, a named backup can coordinate with the provider. Avoid having several colleagues send different pickup times for the same booking. Keep one current journey summary and replace the outdated version when a change is agreed.
If the passenger cannot locate the driver, they should use the contact route in that summary before moving to another meeting point. The organiser can help relay the location, but should not invent new pickup instructions.
Confirm the arrangement before the passenger travels
